Content Workline does not sit inside your management information system. We send a checklist: year group, prior attainment band if you use one, current assessment point, attendance percentage, persistent absence flag, SEND provision, pupil-premium eligibility, and a unique pupil number that you may hash if you prefer.

Names are not required. If a data manager includes them by habit, we strip them on arrival and say so in the engagement note. Photographs, behaviour incident free text, and safeguarding logs are outside scope; if they appear in a dump, we delete the file and ask for a cleaner extract.

Working copies live on encrypted disks in Kelshall for the life of the draft cycle, then thirty days after the final pack is accepted, unless you ask us in writing to destroy them sooner. We do not use school extracts to train other clients’ charts.

Training providers send programme-level tables rather than learner-level files whenever the board only needs board-level charts. Learner-level files, when unavoidable, follow the same stripping and retention rules.

The practical request: give your data manager the checklist a week before the extract date, not the afternoon before the governors’ papers go out. Most of the delay we see is not analysis. It is a missing column that has to be pulled again.
